Multifunctional service center of the biggest coal-mining company in Russia was moving to electronic processing of sick leave and short term disability benefit. According to the plan requests from all the branches should have been processed in the unified center so without automation it would unavoidably lead to staff expansion.
The program robot was used to receive electronic data from the accounting system, read the dates and the reason for incapacity (hospital stay, nursing care, child care, maternity leave, etc.), based on the received information the robot updated data in SAP for insurance payment processing and exported it to Saperion (a work flow system), the robot then sent data to the federal healthcare agency. If necessary, the robot could change the existing reason of incapacity based on the updated sick leave reason list and inform the responsible person via e-mail.
Number of employees reduced from two to one. The staff recruitment was made unnecessary which lead to huge savings. The comparison of monthly productivity FTE vs PRA shows savings of 74% per month.
